Part 1: Cancelling Paychex Payroll Services
1
Choose your new payroll provider
Set up your new account with Gusto, ADP, or QuickBooks Payroll before cancelling Paychex. Import employee data to the new provider first.
2
Download all records
Export: payroll history (last 3 years minimum), all tax filings (941s, W-2s, state filings), employee information, benefits data. Store in a safe location before cancellation.
3
Choose your cancellation date carefully
Cancel at the end of a quarter if possible (March, June, September, December). This ensures W-2s and quarterly 941s are filed properly by Paychex.
4
Send written notice
Contact your account manager. Send written notice via email and request written confirmation. 30 days notice is standard. Keep confirmation emails.
5
Verify final billing
Review your final bill. Watch for year-end processing fees if cancelling in Q4 (November/December). Off-cycle charges should appear on your final invoice.
Part 2: Cancelling Paychex 401k (Much More Complex)
The 401k 5-Year Contract Trap
If you signed a Paychex 401k plan within the past 5 years, exiting may trigger discontinuance fees of 0.50% to 1.50% of total plan assets. On a $400,000 plan, that's $2,000 to $6,000 - plus the $1,500 transfer fee. Always check your plan agreement before initiating a transfer.

Frequently Asked Questions
How do you cancel Paychex?
To cancel Paychex payroll services, contact your dedicated account manager or Paychex customer service. Standard notice period is 30 days. Send written notice by email and request written confirmation of the cancellation date. Avoid cancelling mid-quarter - complete the quarter so W-2s and tax filings are handled properly by Paychex. Download all payroll records, tax filings, and employee data before your access ends.
Does Paychex have a cancellation fee?
Paychex payroll plans have no mandatory long-term contract and no cancellation fee - you can cancel with 30 days written notice. However, Paychex 401k plans have significant exit fees: a $1,500 plan transfer fee to move assets to a new provider, and discontinuance fees of 0.50% to 1.50% of total plan assets if you exit within a 5-year term. Read your 401k agreement carefully before you signed it, and before you cancel.
How long does Paychex data export take?
Paychex provides payroll history, tax filing records, and employee documents through your account portal. Data export typically takes 1-5 business days to compile. Request your data export as soon as you decide to cancel, before your service end date. Paychex retains records per IRS requirements (7 years), but access to your online account is limited or eliminated after the cancellation date.
What happens to my Paychex 401k if I cancel?
Cancelling your Paychex 401k is a separate process from cancelling payroll. Find a new 401k provider first (Employee Fiduciary, Guideline, or Betterment for Business are lower-cost alternatives), then initiate a plan transfer. Allow 60-90 days for the transfer to complete. The $1,500 transfer fee applies regardless of plan size. If within a 5-year term, calculate your discontinuance fee (0.50%-1.50% of total plan assets) before deciding to transfer.
